The Corporate Event Planner’s Guide to Budgeting for Entertainment in Melbourne

If you’ve ever received an entertainment quote that came in higher than expected, or found yourself blindsided by a cost you hadn’t factored in – you’re in good company. Budgeting for corporate entertainment in Melbourne is one of the most misunderstood parts of event planning, not because the costs are unreasonable, but because some agencies don’t explain them.

Whether you’re planning a corporate gala, an EOFY party, a product launch, or a Christmas celebration, this guide will walk you through everything you need to know: what’s actually inside a quote, what drives costs up, where the real value lies, and how to approach entertainment budgeting with confidence.

We asked Tash Mitchell, Founder and Creative Director of Aurora Entertainment, to share the inside view on corporate entertainment budgeting in Melbourne, including the questions she wishes more planners asked upfront.

Start Here: Which Type of Corporate Entertainment Are You Booking?

Before you can build a realistic budget, it helps to understand that not all corporate entertainment works the same way. Across dance and roving services, the three main categories (being roving performers, floor shows, and speciality acts), each come with a very different cost structure.

Roving Performers

Roving acts move through your event space, interacting with guests and creating spontaneous, photo-worthy moments. Think avant-garde guest welcomes, such as lampshade ladies and showgirls with oversized backpieces, and futuristic roving acts such as discoball divas and mirror bunny rovers who will even join your guests on the dance floor!

Roving acts are the most straightforward category to quote, because there are fewer behind-the-scenes logistics involved. A good ballpark for roving performers at a Melbourne corporate event is $1,500-$3,000+GST for multiple performers. These acts are often the most flexible and highest-impact entertainment option for the investment.

Floor Shows

Floor shows are fully choreographed routines across popular themes such as showgirls, can-can, and flashmob-style surprise performances, just to name a few. They require significantly more behind-the-scenes preparation than roving acts, which is reflected in the quoting process. Check out our full deep dive below.

Specialty Acts

Speciality acts feature performers with unique, often circus-inspired skills: lollipop lyra artists, professional Latin and Samba dancers, a burlesque performer in a giant martini glass, fire dancers and more. Like floor shows, these are quoted on a case-by-case basis and involve substantial preparation.

What’s Actually Inside a Corporate Entertainment Quote?

One of the most common frustrations corporate event planners share is receiving a lump-sum quote with no breakdown. It’s impossible to know whether you’re getting value without knowing what’s included or where there’s room to adjust.

A professional corporate entertainment agency should always provide a full, itemised breakdown. At Aurora, every quote includes:

  • Performer fees
  • Rehearsal fees (where applicable)
  • Choreographer fees (for floor shows and flashmobs)
  • Tech run time on the day of the event
  • Costuming fees and any sourcing costs for custom looks
  • Custom music cutting (where required)
  • Site manager or minder fees (where required)
  • Travel fees (where applicable)

Clients also receive content of the acts and costumes being proposed, so they can see the calibre of performers before making a booking decision.

Tip from Tash: If an agency provides a lump-sum quote without explaining what’s included, it’s important to ask for a clear breakdown. Each line item in a quote typically reflects a specific service or cost, and reputable agencies will be transparent about what is being charged and why.

Why Floor Shows and Specialty Acts Need More Information to Quote

A question we hear often: “Why does an agency need all of my event details just to give me a ballpark for a floor show?”

The reason is that floor shows and speciality acts involve a level of behind-the-scenes preparation that varies significantly from event to event. Unlike roving activations, which have relatively straightforward logistics, these acts often require some or all of the following:

  • Rehearsals (number and duration depend on the complexity of the routine)
  • Choreographer engagement and creative development
  • A tech run on the day – additional time required before doors open
  • Custom music cutting
  • Custom costuming or sourcing
  • Additional bump-in and bump-out requirements at the venue

To build an accurate quote, a good agency needs to understand your venue, your audience demographics, your vision for the evening, and any theme or creative direction. From there, they can recommend acts that will complement your event and provide a tailored quote.

Think of it less like ordering from a menu and more like commissioning something bespoke. The additional information isn’t bureaucracy – it’s what makes the end result actually work for your event.

Corporate Entertainment Costs in Melbourne: What Pushes the Price Up?

Here is where many corporate planners get caught out. These are the most common cost factors, and the ones most likely to surprise you if they’re not flagged early.

1. Booking late in peak season

This is the biggest one. Peak season for corporate entertainment in Melbourne runs from October through to April, with November and December being the most in-demand months by a significant margin.

Waiting until October or November to book your Christmas or end-of-year entertainment will almost always mean higher pricing. Demand is at its peak, availability is limited, and agencies may need to move performers around to accommodate late bookings, which creates additional administration costs that are passed on to the client.

“The amount of inquiries we receive in November for same-year November and December dates is huge. Whilst we work hard to accommodate them, late bookings almost always cost the client more than they needed to spend” – Tash Mitchell

2. Travel beyond 60km from the Melbourne CBD

Most Melbourne-based performers are accustomed to traveling across the city and to nearby suburbs. But if your event is more than 60 kilometers from the Melbourne CBD, all performers will need to be paid travel fees. Events at venues further afield may also incur accommodation and meal costs.

This is one of the costs that can catch event planners off guard, particularly if you’ve chosen a beautiful regional venue without factoring in performer logistics. Always flag your venue location early in the conversation so your agency can give you an accurate total cost from the outset.

3. Custom costuming not in the agency’s current collection

Most established entertainment agencies have a strong costuming collection built up over many years. If the look you have in mind (think specific brand colours or a particular theme or aesthetic) isn’t already available, additional fees may apply to source or create it.

This is completely achievable with enough notice. The best planners bring costume ideas to the very first conversation, even if they’re not fully formed. It gives the agency time to plan and perfect the look rather than rushing it together at the last minute – which rarely produces the result anyone wants.

What Looks Expensive But Can Offer Excellent Value

1. Extending your performance time

Entertainment acts carry a high initial call-out fee that reflects the performer’s travel, set-up, and the core performance window. Once your performers are already at the event, the cost to extend the performance time is usually significantly lower. If you want more coverage across the night, it’s always worth asking about extended rates for performers.

2. Bundling multiple acts on the same night

Occasionally, a single performer can execute more than one act in a single evening. For example, a lampshade lady who welcomes guests on arrival might also perform in her lollipop lyra act later in the night. This gives you more entertainment variety without the full cost of two entirely separate bookings.

It isn’t always possible for every act or event configuration, but it’s always worth discussing with your agency. Check the full roster for acts that might complement each other and could be bundled.

Vendor or True Partner? How to Get the Most From Your Entertainment Budget

Not all entertainment suppliers operate the same way. Some function as transactional vendors: focused on showing up and performing, without much investment in the planning process or your event’s success. Others act as true partners: proactive, detail-oriented, and in your corner from the first conversation through to the final bow.

The difference shows up most clearly in the experience of booking, not just the experience on the night. A transactional approach might mean generic pricing with no breakdown, slower communication, and limited foresight around logistics. A genuine partnership means all of that is handled before you even have to think about it.

In practice, this looks like: transparent pricing with a full breakdown of every cost, proactive communication about green room needs, parking, load-in times and venue requirements, and professional standards that match the calibre of the events you’re running.

A true entertainment partner ensures you’re never blindsided on event day so you can focus on your guests, not on managing logistics that should have been sorted weeks earlier.

Working With a Smaller Budget? Here’s the Honest Advice

A smaller budget doesn’t rule out impressive corporate entertainment. It does mean the options will be more targeted, but there are always pathways to create impact.

The most important thing is to be upfront with your agency about what you’re working with. A professional agency will tell you what’s achievable, suggest acts that punch above their weight, and help you make smart decisions about where to focus your investment.

Some costs are non-negotiable. Minimum performer rates, travel fees where applicable, and behind-the-scenes costs like rehearsals or tech runs are often bundled into a base package at a discounted rate and can’t be removed. But performer numbers can often be scaled, and a smaller act executed brilliantly will always outperform a larger act executed poorly.

Remember: Even a smaller roving activation with two or three outstanding performers will create more impact than a large cast of mediocre talent. Quality of experience for your guests is what matters.
